Two significant updates are now available for EasyLife 365 Mail, enhancing your resource management capabilities. These features provide increased control and flexibility, transforming the way you manage mailboxes, distribution lists, and other resources.

What's new?

1. Approval Workflows for Mail Resources:

You can now create Approval workflows to control how mailboxes and distribution lists are provisioned. This feature adds an extra layer of oversight, ensuring that new resources are created systematically and with the right approvals in place. Built on the powerful workflow engine from EasyLife 365 Collaboration, these approval workflows offer flexibility and structure, tailored to your organization's needs.

2. Data-Driven Mailbox Description Fields: Administrators now have the ability to define a data-driven naming convention for mailbox descriptions when provisioning shared, equipment, and room mailboxes. This can be set up in the Data Collection > Properties section of the template by enabling the Description Naming Convention Control. If preferred, you can still allow users to manually input descriptions by leaving the convention field blank.

• Enhanced Governance: By implementing approval workflows, you can ensure that any new mailbox or distribution list goes through a guided approval process before being provisioned, enhancing governance and control over resource creation.
• Consistency and Time Saving: Automatically generate mailbox descriptions based on predefined data fields and patterns, improving consistency and reducing manual input, making mailbox management smoother and more efficient.

What’s next?

The Approvals feature is currently available on the Insiders instance of EasyLife 365 Mail and will be rolled out to production later this month. Admin-managed approval workflows will soon follow, extending this functionality to all EasyLife 365 services.
