EasyLife 365 101

EasyLife 365 Collaboration leverages the Microsoft Identity Platform to handle authorization and authentication for your Microsoft 365 tenant. Your Microsoft 365 administrator will grant permissions to the multi-tenant application identities managed within EasyLife 365 SaaS. Once permissions are granted, you can start configuring EasyLife 365 Collaboration suite using the EasyLife 365 Admin Insiders.

The life cycle management of Microsoft 365 resources with EasyLife 365 Collaboration spans from creation to usage, and finally to clean-up. EasyLife 365 Collaboration ensures resource ownership is tracked within your organization, triggering workflows and interacting with resource owners when compliance issues arise that do not meet the criteria configured in the EasyLife 365 Admin Insiders.

EasyLife 365 Collaboration enables you to create resource templates. These templates define who in your organization can request new resources and how these are configured during provisioning. For example, you can control how a Microsoft 365 Team is provisioned, including its dedicated channels and guest sharing settings, by configuring the templates to your needs. A template defines all aspects relevant to a resource such as:

  • Provisioning process details
  • Naming conventions for new resources
  • Enabled security features (e.g., guest account access, Teams settings)
  • Type of resource being provisioned (e.g., Microsoft 365 Group, Team, Viva Engage)
  • Data collected from users
  • Applied policies
  • Target audience for the template
  • Template availability for users
  • Webhooks triggered during provisioning

Templates are maintained in the Templates section of the EasyLife 365 Admin Insiders. The subsequent resource life cycle is managed through EasyLife 365 Collaboration policies. Policies control resource management concerning ownership, expiration, explicit confirmation, and access review. Policies can be applied to individual templates, allowing different behaviors (e.g., varying expiration periods).

You might want different expiration policies depending on whether the template is intended for short-term or long-term collaboration. You might also want more stringent access reviews for templates allowing guest accounts.

Additionally, you can define a default policy. This default policy applies to all resources without a valid policy (e.g., resources provisioned before EasyLife 365 Collaboration deployment). Policies are enforced by the EasyLife 365 Collaboration Engine, a background process that runs daily to ensure rules are applied to your resources. If an issue arises, the EasyLife 365 Collaboration Engine triggers necessary workflows using the notification settings.

Users can create new resources using the integrated Teams application named EasyLife 365 Collaboration App via the customizable Wizard. The EasyLife 365 Collaboration Engine notifies users when actions are needed (e.g., if a team does not comply with a defined policy). All required actions can be performed under MyStuff in the EasyLife 365 Collaboration App.
