The Data Collection tab offers control over the type of data collected by the Create Wizard within the EasyLife 365 Collaboration App when a user initiates the creation of a new guest user. Notably, the email address is always mandatory and cannot be excluded.
The Disabled Guests section of the guest account policy allows you to configure a policy for guest accounts that are disabled. If enabled, this policy works just like the confirmation policy but only for guest accounts that have been disabled for more than the specified amount of days.
Guest account management enhances the capabilities of EasyLife 365 Collaboration by extending its features to guest accounts. You can create templates for inviting new guest accounts and configure policies to help users monitor the guest accounts they invite.
The Guest template section allows you to configure a policy for guest accounts that don't have an assigned template. This policy will ask owners of the guest accounts without template to assign a template. By assigning a template, the template's policy will be assigned to the guest account. This helps your users to bring guest accounts that are invited outside of EasyLife under management.
The guest account management feature is disabled in the default configuration.
The Inactive Guests section of the guest account policy allows you to configure a policy for inactive guest accounts. If enabled, this policy will ask owners to confirm that a guest account is still in use after being inactive for a specified number of days.
The Invitation section of the guest account policy allows you to configure a policy for guest account invitations. If enabled, this policy will run if a guest account invitation link is not redeemed within the specified amount of days.
Organizations often require stringent control over guest access to certain teams or groups for reasons pertaining to security, compliance, or management. The processes for granting guest account access can vary significantly between teams and organizations. In some cases, approvals may be necessary, with designated approvers granting or declining guest account access to specific teams or groups.
The Naming section of the guest account policy allows you to configure a naming convention for guest accounts. If enabled, this policy regularly checks and updates the display name of guest accounts.
EasyLife 365 Collaboration offers a range of policies to manage guest accounts effectively:
In the Ownership section of the guest account policy, you can fine-tune the settings for managing ownerless guests and ensuring a minimum number of owners.
The Permissions section in the guest account template allows you to specify what actions owners are allowed to perform on their guest accounts.
The Provisioning section of group templates, allows you to define the naming convention for the associated SharePoint site collection URL and mailbox for your Microsoft 365 group. For guest accounts, you can only specify a webhook url that will be called when a guest account is provisioned through EasyLife 365.
