Managing Guest Access in EasyLife 365 Collaboration

Organizations often require stringent control over guest access to certain teams or groups for reasons pertaining to security, compliance, or management. The processes for granting guest account access can vary significantly between teams and organizations. In some cases, approvals may be necessary, with designated approvers granting or declining guest account access to specific teams or groups.

In EasyLife 365 Collaboration, you can configure and manage the addition of existing guest accounts to specific groups or teams within your organization's Microsoft Teams environment using guest account addition templates.

Guest Account Addition Templates

Utilizing Guest Account Templates provided in EasyLife 365 Collaboration streamlines the guest addition process due to the following benefits:

Before utilizing the Guest Account Additions feature in EasyLife 365 Collaboration, you must enable it at the tenant level. This is a prerequisite for the appearance of guest addition templates. Here's how to do it:

  1. Navigate to the Settings page in the EasyLife 365 Admin.
  2. Go to the Guests tab.
  3. Select Enable existing guest addition workflow in the Permissions section.
  4. Enable this feature: By doing so, you authorize the use of Guest Account Addition features in your tenant. Once enabled, guest addition templates will be accessible for use in managing guest account additions.

Creating a Guest Account Addition Template

To create a Guest Account Addition template:

  • Navigate to the Templates page in the EasyLife 365 Admin.
  • Select Guest Account Additions to create a new template.
  • Click Create a Template and provide necessary details in the ensuing form.

Settings

In the Settings section, you can configure how the workflow operates during the addition of guest accounts. Options include:

  • Ignore Guest Restrictions on Target Resource: Overrides any existing settings that may prohibit guest additions.
  • Filter Resources: Limits guest account addition to resources associated with specific templates.

Approvals

Specify the workflow to be followed during the guest addition process. Templates can have approval workflows with varying numbers of approvers or no approval workflow at all.

You may need to exercise more granular control over guest account additions in certain scenarios.

Control Over Guest Account Addition to All Teams

  1. Disable Guest Access in Microsoft Teams on Tenant Level: This prevents guest additions by default.
  2. Create Guest Addition Templates with "Ignore Guest Restrictions": Enable this option to bypass guest restrictions.
  3. Add Approval Workflows: Specify approval workflows for guest addition.

Control Over Guest Addition for Specific Team Types

  1. Disable Guest Addition on Individual Team Level: Deselect the option to allow guest additions in team settings.
