How to customize invitation email content and branding
Use this feature if you want to replace the standard Microsoft invitation email with a custom invitation mail that better matches your organization. It lets you configure a dedicated shared mailbox, allow users to choose the invitation language during guest invitation, and define the branding and email content of the invitation mail.
Prerequisites
- Guest account management enabled
- A shared mailbox, if you want to use a dedicated invitation sender
Customize invitation mail
- Open EasyLife 365 Admin.
- Navigate to System Configuration -> Settings -> Guests -> Invitation.
- Switch on Customize invitation email content and branding.
The custom invitation mail options become visible immediately after you switch on the toggle.
If Automatically send an invitation email when a guest account is created is disabled, the invitation mail language and default redirect URL settings are inactive.
- Configure the dedicated shared mailbox, if required.
- Allow users to pick the invitation language, if needed.
- Configure the branding and email content values.
Available options
-
Dedicated shared mailbox Use this option to send invitation mails from a dedicated mailbox in your tenant. If you do not configure one, EasyLife falls back to the notification mail settings.
-
Allow users to pick the invitation language Use this option if inviters should be able to choose the invitation language during the invitation process.
-
Heading Defines the main heading shown in the custom invitation mail.
-
Organization name Defines the organization name shown in the invitation mail.
Branding and email content
You can customize the invitation mail content with the following options:
-
Subject Defines the mail subject line shown in the recipient's inbox. If you do not change it, EasyLife uses the standard subject.
-
Intro Defines the introductory text shown at the beginning of the invitation mail. If you do not change it, EasyLife uses the standard intro text.
-
Outro Defines the closing text shown at the end of the invitation mail. This text is optional and remains empty if you do not configure it.
After you configure the values, you can also provide language-specific content for the supported languages and override the default behavior where needed.
Additional template-based customization
If you use guest templates, EasyLife also provides an Email invitation section in the guest template data collection options with a Personalized message field.
- This lets you extend the invitation experience with template-specific message content.
- You can enable this setting under the guest template and decide whether to include a personalized message.
- You can also disable mail sending for a specific template if your process requires that invitations are handled manually.
