Template Policy

The Template section provides the tools to customize policies for groups, SharePoint sites, and guest accounts that lack an assigned template. This policy acts as a reminder for resource owners without templates, nudging them to streamline the classification of resources within your tenant.

This policy becomes particularly valuable when delegating resource classification to users who haven't yet been managed in EasyLife. It encourages resource owners to assign templates, establishing an organized framework for classification.

Key benefits of template policies include:

  • Seamless Guidance: EasyLife simplifies the template assignment process with step-by-step guidance, eliminating missing information and incomplete metadata.

  • Enforced Consistency: Implementing template assignment policies ensures heightened consistency across groups, SharePoint sites, and guest accounts. This fosters an organized environment, enhancing collaboration and productivity.

Example

This example illustrates crafting a template policy tailored for guest accounts. You can then allocate this policy to specific resources, initiating the essential workflow and enabling users to efficiently manage the environment.

Prerequisites

To complete this exercise, ensure you have:

  • Completed the Onboarding.
  • A Notifications Email Address for policy notifications.
  • A Microsoft Teams team that you own.
  • Two external email addresses not invited to your Entra ID tenant.
  • Logged into the EasyLife 365 Admin (https://admin.easylife365.cloud/collab/) to create policies and templates.
  • Access to the EasyLife 365 Collaboration App to observe policy functionality.
  • Logged into the Microsoft Entra ID Portal to create resources outside EasyLife 365 Collaboration.

Create Policies and Templates

Create a Policy

Begin by creating a new policy to support our learning scenario.

  • In the EasyLife 365 Admin, navigate to Policies > Guest Accounts.
  • Click Create and save after filling out the sections below.

Card

Configure the basic details for the policy:

  • Set the Title to Learning Template Policy.
  • Enter a Description.
  • Activate the policy and leave Default unchecked.

Owners

Configure basic details for the ownership section:

  • Select Ownership and configure Auto-Heal and Escalations.

Template Policy

Configure the template policy:

  • Select Guest Template and enable the template policy.
  • Set reminders and actions.

Create a Template

After creating the policy, create a new template for our learning guest account.

  • In the EasyLife 365 Admin, go to Templates > Guest Accounts and click Create.

Card

Configure the template details:

  • Set the Title to Learning Template - Template Policy.
  • Enter a Description.
  • Choose a color and activate the template.

Day One

Create a new guest account in the Azure portal and observe how EasyLife notifies of non-compliance.

  • Log into the Azure portal and create a new guest account.
  • In the EasyLife 365 Admin, navigate to Manage > Guest Accounts and apply the template policy.

Day Two

Receive and respond to notifications from the EasyLife Collaboration Engine.

  • In the EasyLife 365 App, navigate to Guests and address non-compliance issues by applying templates.

Cleanup

Congratulations on completing the EasyLife 365 Collaboration template policy learning path! Return to the EasyLife 365 Admin and delete the Template Learning Template - Template Policy and the policy Learning Template Policy.
