We added a new provisioning feature to EasyLife 365 Mail. Now, you can configure whether the email display name field is mandatory or optional when setting up shared mailboxes, room mailboxes, and equipment mailboxes.

What's changed?

Administrators can now toggle the display name field as either required or optional in template configurations. If the field is left empty or hidden during resource provisioning, the system will automatically use the email address as the display name.

What’s new?

This new functionality makes managing shared, room, and equipment mailboxes even easier. Administrators now have full control over whether these mailboxes automatically appear in users' Outlook without any additional setup.

  • Template Configuration: With just a simple checkbox in each mailbox template, you can decide if AutoMapping is enabled for specific user groups or mailbox roles. No need to manually configure each user's settings—everything is handled automatically based on the template.

  • Permission-Based AutoMapping: Only users with full access permissions will see the mailbox appear in their Outlook list. Other permissions like "Send As" remain unaffected, ensuring security and flexibility.

  • Automated Syncing: Any changes to mailbox members (such as adding or removing users) will automatically update the AutoMapping settings, making sure the right users have access without any manual intervention.

You can now reopen a cancelled poll or a closed poll. This feature gives you more flexibility to adjust meetings even after they have been cancelled or closed.

2. Display Options

Unlike before, that once a poll was closed you could only view the final vote, you now can opt to display all meeting information. This feature allows you to either see only the final vote or see all participant votes.

How it will affect you?

  • Increased poll flexibility: When viewing a closed or cancelled poll, you will now see a Reopen Poll button that you can click on to restore the meeting to an editable state where you can make further changes. Note that this will clear the previously agreed time for that meeting.
  • More viewing options: When viewing a closed poll, you will now see a button that toggles between Show all time-slots and Show final vote only.
    • When you click the Show all time-slots button, it will display all the previous meeting choices and votes.
    • When you click the Show final vote only button, it will display only the final vote.

Data-Driven Mailbox Description Fields: Administrators now have the ability to define a data-driven naming convention for mailbox descriptions when provisioning shared, equipment, and room mailboxes. This can be set up in the Data Collection > Properties section of the template by enabling the Description Naming Convention Control. If preferred, you can still allow users to manually input descriptions by leaving the convention field blank.

2. Description Field Added to Data Collection for Mailboxes

Administrators can now require users to provide a description when provisioning shared, equipment, and room mailboxes. This option is available under the Data Collection > Properties section of the template.

Users will now be able to supply a description for a mailbox where required. This helps in identifying the appropriate mailbox to use in various situations, making it easier to manage and select mailboxes based on their descriptions. The description field will be saved in the Exchange "notes" field.

With EasyLife 365, you can now manage your SharePoint sites with the same governance capabilities as our Groups and Teams. Take advantage of the following policies to manage your SharePoint sites: Owners policy, Confirmation policy, Expiration policy, and Access review policy.

Onboarding process

With primula, the onboarding process has become way simpler. Since most permissions have become the same, we merged the API app into the EasyLife365 app. On your first visit to the cockpit site, you will be asked to grant all permissions for the Cockpit app. Once you have done that, you can enable EasyLife365 for your users. Go to Settings -> Permissions and give your consent also for the app. Wait for the permission verification to turn green, and you are set to go.

Onboarding success

Important!

For customers who already consented to all necessary permission, we plan to disable the EasyLife365 API on mid of march. You can safely delete the EasyLife365 API from your enterprise applications as soon as we have done that.

Progressive notifications

Have you ever experienced users not reacting on Teams notifications, but as soon as they get an email, they will take care of the issue? With Progressive notifications enabled, your users will get the first notification still in Teams, as they used to. Every subsequent notification will be sent by mail. To enable this setting go to Settings -> Notifications.

SharePoint sharing settings

Every SharePoint site we create follows the rules for external sharing you set in the SharePoint administration center (tenant settings). Now you can set this configuration on a template level. To do s, choose a Group/Team template and go to Privacy -> SharePoint sharing settings, where you can restrict access to external users. Remember that you can't set higher permissions as defined in your Tenant settings; if you do so, they won't apply.

In the first step of the access review, you can still set the owners.   • Associate the SharePoint site to a Hub or apply site designs
  • Copy a folder structure to your SharePoint library or copy the contents from a Template Team
  • Provision standard channels with configurable tabs, private channels, and shared channels

In the manage section of the cockpit you can now export all groups and guests of the current view. Really helpfull if you need to use Excel to extract some additional information 😉 Further you can also filter between enabled and disabled accounts in the guest account manage section.

We added a search utility in the inviting wizard and excluded groups who are not allowed to have guests from the selection. We also fixed a bug that occurs during group creation if you use special characters in the mail nickname.
